Here is the text of a presentation our Technical Services staff asked me to give on social bookmarking.

Hi everyone, thank you for coming this afternoon to escape the ghosts, ghouls, candy corn, and snack size snickers of old hallows eve and listen to me talk to you about social bookmarking. I’m going to start by defining some of the terms you may or may not already be familiar with, terms like social bookmarking, tagging, folksonomy, to give you a good foundation as we move into tools of the social networking trade and some ways you might use these gadgets and gizmos.

What is "social bookmarking"?

In a former life I was an English grad student, and we all really liked to define our terms, so let’s start there. So what, exactly, is social bookmarking? It is an online, public bookmarks system (bookmarks are also known as "favorites”). Social bookmarking is a way to store, classify, share and search your Internet bookmarks.

As you browse the Web from your computer, you might find yourself visiting certain sites regularly or come across sites you like or want to visit again when you have more time, so you save, or bookmark, those sites in your browser (Firefox, Internet Explorer, Safari, etc.). Great, no need to write down long urls or email lists of links to yourself! Unfortunately, these bookmarks have some faults:

  • The bookmarks in your home computer aren't available at your office, or at your friend's place, or at any of the computers in this room.
  • Above a certain number of bookmarks, it becomes hard to find what you need among so many, even when using folders to separate them.

Social bookmarking solves both of these problems because when you use a social bookmarking service, like del.ici.ous, bookmarks are now online and available to you wherever you are.

It’s useful for… Features and advantages of social bookmarking

People who use multiple computers in various locations you can access all of your bookmarks from any computer that has a web connection.

You can discover similar items within your own bookmarking account as well as within the larger community: "whoever bookmarked this, also bookmarked..."

It’s a great way to organize your bookmarks through tags because one bookmark can have one or more tags and those tags are meaningful to you—not the Library of Congress.

You can also share: giving people a link to your list of links allows you to share resources with your peers, managers, students, & others.

From a practical, work standpoint, you can also use the social bookmarking community, the folk and the folksonomy: you can see which search terms and keywords the “masses” are using to collect search strategies & information for bibliographies and for website development because you can see trends or popular topics at a particular time.

There are several social bookmarking services, but the most popular one, and the one I am most comfortable with, is del.icio.us.

It’s delicious

Partly because it was one of the first bookmarking, partly because it is quite simple to use, and partly because its name lends itself to all sorts of good links to fun pictures in slideshows, del.icio.us is, nowadays, one of the most popular social bookmarking services. However, to a beginner, its initial appearance may be intimidating.

So what is it?

It is a database that is built by the general public, the folks, and it simply contains links to sites that other people liked and wanted to remember.

If you are using the “social community tagging” aspect of the site, you’ll find that it is better for finding popular topics and items. It currently tends to focus on items of interest to technophiles and young adults, but growing and diversifying with people like me adding 35 food blog links per day.

Most importantly, what you add changes the profile and composition of the site.

How do I start?

Registration is really quite simple. On the initial page, you’ll see this: [referring to slide] and you simply fill it out like you’ve filled out dozens [hundreds] of other forms—yes, you do have to have another username and password to add to your already lengthy list… And then you click "Register." Afterwards, you will be required to prove that you are a human and will be prompted to type distorted numbers or letters into a box, which apparently prevents someone from writing a program that registers 100 different accounts in a matter of seconds.

Tags

As an added bonus feature, when you add a new bookmark to your social bookmarking service, you can classify it using tags, which are nothing more than to describe the bookmark, such as "child" or "pumpkin" or “child_holding_pumpkin. By assigning keywords that are meaningful for you, you can sort and view just the bookmarks with that particular tag.

But what about the "social" part? I use that word because all your bookmarks can be made public. This means that you can browse the bookmarks from anyone who uses the same social bookmarking service. But it's also possible to see the newest added bookmarks or the current popular ones for the online community as well as for your own account. You can also "give" or suggest bookmarks to friends.

To tag or not to tag, save or not to save

In the case of Firefox, for instance, when clicking on the "add to del.icio.us" button, a window like this will appear: [shot of delicious add page]

As A part of the registration process, del.icio.us should automatically detect which browser you are using, and will give you some instructions for adding "add to del.icio.us" and "my del.icio.us" buttons to your browser. Installation should also be really easy, but I’ve had a bit of trouble installing them—and if you want to use them, they have to be installed for each computer you use. In preparing for this presentation, I realized that these buttons aren't actually required, but they make using del.icio.us even easier. To save links without

  • to access your bookmarks list, simply go to http://del.icio.us/username (replacing "username" here with your real username, of course.
  • to add a new bookmark, go to http://del.icio.us/post/, this will take you to a page asking you for the same data as shown in the previous image (address, description, notes and tags).

Now how do I use this?

What I like about this example is that there are several tags already suggested, due to the large number of people who have added this particular bookmark (one more advantage of the social part: it saves work!). But remember, you can change anything you want: choose already chosen keywords or choose your own. There are a few things I want to point out on this page:

The title of the page is normally saved as the default description. If this is all you need to jog your memory, keep it and skips the next notes section; if not, change it to something more meaningful for you.

The notes field is good if a) have a squishy memory and forget why you wanted to save something in the first place or b) you have a quote from the document, another page to refer to, your opinions, or something else special that you’d like to remember. But, word to the wise, I found out the hard way that there is a 255 character limit…

As I mentioned there are several options for the tags you choose to use: the first are your own. I recommend choosing words that are meaningful to you, regardless of whether they are meaningful in the larger social network.

  • At the same time, and separate from the tagging standards of the community [I’m thinking of naming conventions and a common lexicon here], it’s a good to be mindful and consistent about the words you use. For instance, at this time, whether a word is singular or plural matters; if you tag something as “apples” and then do a search for “apple,” it will not come up.
  • The only real limitation on tags is that they can’t include spaces. So if your web page is about a two-word place like "San Francisco", you may want to tag it as sf, san-francisco, SanFrancisco, san.francisco, or whatever else makes sense to you. You probably don't want to use commas, though, since a comma will be become part of the tag.
  • However, while tags are great for organizing and finding your own personal links, the great thing about delicious is that you can use the tag community to relate content to your own tags. This means you build what delicious calls “a collaborative repository of related information, driven by personal interests and creative organization.” For instance, to view everybody's bookmarks about sweets, visit http://del.icio.us/tag/sweets. To see the most popular items tagged as sweets, visit http://del.icio.us/popular/sweets.

For pages that have already been tagged, delicious will also give you a list of Recommended tags and Popular tags. You can use them or ignore them, it’s up to you and how you want to use the site.

When you are finished, click "save” and that’s it, link saved!

What else can I do? Snoop, suggest, see, research, view the latest and greatest

To see someone else's bookmarks (say, a friend's), go to http://del.icio.us/username (replacing the "username", of course)

To suggest one of your bookmarks to someone, add a tag "for:username" to it. The recipient will see that bookmark on his/her "links for you" section, and may add it to his/her own list, or not

To see which of your bookmarks has a particular tag, go to http://del.icio.us/username/tagname (replacing "username" with yours, and "tagname" with the tag)

To check out all bookmarks with a tag, http://del.icio.us/tag/tagname (replacing "tagname")

To see the most recently added bookmarks: http://del.icio.us/recent . Usually, these change very quickly, because del.icio.us has many users at all times

Edit and delete bookmarks

Once you have saved an item, you can edit its description, notes, and tags by going to your bookmarks and clicking on the "edit" link next to that bookmark's description. That’s the same place to look if you'd like to delete an item.

Keep it to yourself: Private and public bookmarks

By default, the bookmarks you save are public. If you see "not shared" next to a bookmark that means it is a private bookmark and only you can see it. However, if you're logged out, you won't be able to see your private bookmarks either.

If you’d like to change a private bookmark to public, click the "share" link next to it.

To change a public bookmark to private, first enable private saving in your settings. Then edit your bookmark, check the do not share box, and save it. While saving a new bookmark, you can also check the do not share box to make that bookmark private.

Customize your view with tag options: my top three

One of the really cool things about your delicious links page is that you can change how you view it.

· View as a TAG CLOUD or a LIST

· Sort alphabetically or by how often you have accessed the link

· Bundle tags: Bundles are a way to arrange previously-used tags into groups. You can view by bundle or hide a certain bundle.

The heart of it all: stop, listen, learn, & be inspired

A couple of weeks ago I flew into a tornado in the middle of Kansas. Though the "severe, large tornado" was my reason for traveling to Emporia, Kansas, it sure makes a good beginning to a story when you can use this quote, see your small town destination on a CNN weather map, and bump your way through 30 minutes of white knuckle turbulence.
And then there are the Wizard of Oz jokes, which flow out of my mouth like my random, gossipy banter...
So why was I there? Last spring I was fortunate enough to be asked to be a mentor for a library science grad student who had been given an Emporia Diversity Initiative (EDI) scholarship. Recognizing that the statistics show that the profession has some work to do if the people who work in libraries actually meet the needs of their increasingly diverse populations, EDI is designed to recruit, educate, and provide professional support for minority librarians in Kansas, Colorado and Oregon. It is a "3-year long (2006-2009), multi-partner project led by Emporia State University's (ESU) School of Library and Information Management (SLIM), to recruit and educate local minority library staff in Kansas, Colorado and Oregon. The EDI is funded with $857,754 dollars as a part of the Institute for Museum and Library Services (IMLS) Laura Bush 21 st Century Librarian Program awards of 2006." As part of this program, all the mentors and EDI grad students were invited to ESU to attend a 1 1/2 day leadership and diversity institute. It's cliche to say it, but it really was intense. As usual, I arrived and left with lots of questions:
  • What is the role of a mentor?
  • What is the role of a white mentor with a minority student?
  • What will I never understand?
  • How do I deal with discomfort, fear, authenticity?
  • I have great intentions, but what am I doing?
On a practical & functional level, the EDI staff used the time to start gathering statistics, feedback, and information about the program & its progression. On a personal level, we all shared and shaped stories. And some of the stories came from a deep place inside these students that is full of pain, frustration, hope, gratitude, anxiety, fear, and any other emotion you can think to insert into this list. It is uncomfortable and it is difficult to listen, especially as someone who has the privilege of privilege. But as I flew home late on a Friday night, into a "severe, large rainstorm," mixed in with all the exhaustion and fatigue was a sense of pride. I was proud to have been asked, I was proud of the woman I mentor, I was proud of those who saw a gaping hole and pushed through to fill it.
As usual, I took copious notes, which can be found here in their somewhat rambling, rough form. If nothing else, it will tell you who was there and provide a few links I added as a bonus track to the google.doc file!
But it wasn't all deep intellectual and emotional...
On the touristy side, I had a few hours in Kansas City before flying home and did some speed sightseeing at the Country Club Plaza Mall, the Nelson-Atkins Museum of Art, and the American Jazz Museum.

It's almost like being there: SAA 2007 Conference Report

What a great trip! The SAA 2007 conference was my first national conference-- and it was exhausting and amazing. In addition to the general conference festivities, I found myself involved at many levels: I went to a workshop on user studies, took the Certified Archivist exam, spoke to a couple of roundtables, and presented a paper.

Sharing and Snooping: How to Use Blogs and Social Bookmarking for Business and Pleasure

In the true spirit of blogging, I've decided to abandon my beloved PowerPoint and post my session for the 2007 OSU Libraries in-service here.

Why Are We Here?

I assume you are all curious about how you can use blogs and social bookmarking, so we've come together this afternoon to talk about the fundamentals of blogging and bookmarking. But I also hope to demystify these tools a bit and show you how easy it is to snoop into what others have to say and to see what others have shared.

What is a blog?

Short for "weblog," a blog is a "frequent, chronological publication of personal thoughts and web links." Remember, a blog is just another website, albeit one that is inherently social and frequently conversational in nature. It’s like your diary or journal, a letter to the editor, or a message on a listserv—but anyone online can read it and, more importantly, they can tell you what they think.

Never one to repeat research when I can repurpose someone else’s, I’d like to refer you all to a wonderful site that can tell you more about the history, structure, and general academic uses for blogs: Academic Blogging. This site was funded by the Educational Technology Collaborative at University of Tennessee, and is a great explanation of the fundamentals of a blog.

What about libraries?

Again, in the spirit of recycling, I point you all to these two sites to answer this question. The first, at Web Junction is called Blogs for Libraries. This site addresses the eternal question: “why should I care about this?”More than that, it also provides links to notable library blogs, as well as blogging tools and resources. The second link is to Darlene Fichter’s article entitled “Why and How to Use Blogs to Promote Your Library's Services.” Darlene provides much of the same information, but variety is the spice, etc.

The power of the people

When the power of classification moves into the hands of the masses, what they create is called a “folksonomy,” is part of a much larger discussion. According to Wikipedia, “folksonomy (also known as collaborative tagging , social classification, social indexing, social tagging, and other names) is the practice and method of collaboratively creating and managing tags to annotate and categorize content. In contrast to traditional subject indexing metadata is not only generated by experts but also by creators and consumers of the content. Usually freely chosen keywords are used instead of a controlled vocabulary.”

Session #307: Reference Service and Minimal Processing: Challenges and Opportunities

What Should we do with this?

While the profession has spent the last couple of years debating the promises and faults of minimal level processing, most of the attention has been focused on the processing phase and little has been done to test researcher needs, desires, and expectations for accessing archival and manuscript materials.

NWDA: History of the Program

In my talk today, I will present findings from a series of usability tests I did last winter for the Northwest Digital Archives (NWDA). For those of you who are unfamiliar with the program, the NWDA was a project funded by grants from the NHPRC and NEH; it is now part of the Orbis Cascade Alliance. It provides enhanced access to archival and manuscript materials in Idaho, Montana, Oregon, and Washington through a union database of EAD finding aids. In many ways, each individual collection is a part of the larger collection that documents the political, cultural, and natural history of the region.

NHPRC grant funded the Northwest Archives Processing Initiative or NWAPI. The overall purpose of the second phase of the NWAPI project was to improve access to primary sources for NW history by providing wide-spread collection-level access through minimal processing; Mark Greene acted as the consultant. However, because the NWDA as a whole has not adopted the MPLP suggestions, working with NWDA users meant it was possible to observe a single patron as they interacted with twenty-one repositories' finding aids, with each providing a different level of detail, and it was possible to survey anyone who performed a search on the site, regardless of physical location. In this case, the location was a conference room, but we could have been searching from a computer in Oregon, New Hampshire, or London—our location did not impact the search. The NWDA site provided the variety of individual repositories with the guidance of a consortium.

Grad School optimism meets reality

I'd like to step back before beginning this talk to tell you a bit about the genesis of this project. I was hired by Lane Community College in Eugene, Oregon as one of the minimal processors for the NWAPI II grant. Armed with my MLIS, I had lots of theory, lots of rose-colored optimism, and plenty of mythical ideas of what it would actually be like to be an "archivist." My vision included hushed reading rooms, 200 year old love letters, and intense, interested, patient researchers who wanted nothing more than to spend endless afternoons reflecting on the bounty of history.

The reality was, when I got my first job, I was working with institutional records, very few people visited, and we didn't really have a reading room. But I approached these meeting notes with the respectful, hushed awe I felt was appropriate, ready to read each individual memo about the establishment of this program or the elimination of that position; unfortunately, my position was being funded by a grant that was acting as the test bed for minimal level processing. More than that, we had a deadline!

Like many of you, as a processor I approached MPLP with heavy skepticism- it flew in the face of my grand vision, but it also flew in the face of what I had heard from my grad school instructors. Frankly, though I had very little experience with actual processing, I had absolutely no idea of what "processing" meant if you didn't at least open all the folders, riffle around a bit, rearrange and sort a bit, and then craft a detailed list so the next person could a) find something and b) tell that you had done something.

Now, as a reference archivist, I spend most of my time trying to find things!

Why test these users?

This was actually the 3rd round of usability testing of the NWDA site. The first round of testing was conducted between July and October of 2004 and was a broad analysis of the usability of the site in its infancy.

The second round of testing took place last fall and winter at the University of Montana in Missoula and Western Washington University in Bellingham. The goal of the testing was to observe how undergraduate students interacted with the main NWDA page, as well as the basic search, results, and finding aid pages.

For the third round, in addition to more specific display-oriented issues, the goal was to examine some potential impacts that minimal level processing might have on reference services and user satisfaction; specifically, I wanted to measure how the level of detail in the description impacted the success and satisfaction of NWDA users. I want to repeat and stress the word “goal” here—because, frankly, saying I was going to analyze the impact was considerably easier than actually analyzing the impact.

The Test

I started the project with several assumptions and was certain they would all be confirmed. In fact, I included this sentence in my original abstract: “this project will address the difficulties that arise with reference services, with the assumption that minimal level processing suggestions will make reference services much more difficult and result in a decreased satisfaction rate for users.” Specifically, I thought saving staff time in the processing phase meant spending more time on reference services, that general container lists are never helpful for off-site users and can be frustrating for both users as well as reference staff; and that, if the profession is indeed moving in a general way toward series level description, good, standardized descriptive practices are essential for providing access to the items and information in our collections. My working hypothesis was that the future of reference services was doomed without robust finding aids full of meticulous details.

It quickly became obvious to me that thorough testing and analysis of the first and third assumptions was a much bigger project and a discussion that was not going to fit into a 20 to 25 minute conference presentation. I refocused and hoped instead to look more specifically at user reactions to detailed container lists versus a more detailed narrative descriptive practice.

The Work Began

As I mentioned earlier, the larger purpose of this study was to test users’ perceptions and reactions to a variety of finding aids, with several different styles of presentation, levels of description, and types of collections. For the test, participants were asked to navigate the NWDA finding aid pages and answer question; in several instances, they were also asked to compare the NWDA to the Online Archive of California and the A2A databases. Predictably and intentionally, the format and style of presentation for each database varied, as did user response.

Testing took place at OSU from February through April of 2007. I tested 11 people from the OSU and University of Oregon communities, with varying levels of experience with archival research, from a library patron with no experience to a professional archivist. Initially, I was concerned that I need to test more people, but after 9 or 10 tests, most of the answers began to repeat.

Listening to Users
My concerns and questions found their voice in an "ask the users" rallying cry. Well, with my round of usability testing, I finally had my chance, and much to my chagrin, when I actually asked them, many of the responses were contradictory and confusing.

I opened the testing with this question: How much detail do you expect when searching for historical or archival information online? Predictably, I heard "as much as possible" across the board; however, when I probed deeper, I discovered a variety in definitions of what "detail" meant: expectations ranged from a brief description of administrative information to full digitization of materials. Some thought it was generally accepted that they would be provided with a file-level inventory, with dates and extent for each, while others thought detail meant a lush narrative with plenty of information about how the collection related to everything and anything.

In order to gather more specific information about how much detail users expected from online finding aids, I asked them to compare the finding aids for the Linus Pauling Collection at OSU Special Collections and the Instruction Services Office Records at Lane Community College.

I’d like to give you a little background on both these collections.

The depth and breadth of the Linus Pauling collection is truly amazing. It is comprised of at least 500,000 items, covering 4437 linear feet, and is housed in 1800 boxes. The Special Collections staff has, quite literally, touched each piece of paper; not only have they touched it, they have preserved it, described it, and cataloged it. Last year, they finished the Pauling Catalog, which is a finding aid of epic proportions-- six volumes and 1,800 pages; they are currently working on an online calendar that will allow a user to click on any day of Pauling's life and see the items in the collection related to that day. If we clicked on August 30, 1943, we would find out that Pauling wrote a check to Maybelle Marbury for $3.50, filled out a form, and received 7 letters. The purpose of providing this detail is to show you all that this collection has been processed: at a micro-level. However, while the NWDA finding aid provides a lot narrative detail and series level description, but it doesn't provide 1,800 pages of detail. Knowing that, I was interested in observing the assumptions those I tested would make about the collection, the level of processing, and what their reaction was to this form of detailed narrative description.

At OSU, the Special Collections and University Archives are quite separate, so I don’t have any insider knowledge on the Pauling Collection; but the Instruction Services Office collection is another story: I processed and wrote the finding aid while I worked as a part of the NWAPI II project. My choice to include it was not based on an exaggerated sense of myself, but because a) I knew it was minimally processed and how I had defined that phrase, and b) because I knew what went into the decisions for the levels of description. The collection is comprised of the administrative and departmental records from Lane Community College's Instructional Services Office from 1974 to 1997—it’s the ideal MPLP candidate!

My Assumptions and the Reality of What I Found...

There were those who liked the general, narrative description of the Pauling finding aid and those who preferred an inventory-like, container list of the Instructional Services finding aid.

Many expressed frustration with what they felt was an incomplete level of detail in the inventory list of the Instruction Services Office collection. To those users, it felt like a tantalizing amount of information: just enough to make them think there might be something there, but not enough to tell them if it would be useful. The general folder level description was called "elitist," "unattainable," "frustrating," and "too general." One user asked “is there was something else there that they just aren’t telling me?" Others were comforted by the list, assuming that it indicated a higher level of intellectual and physical organization that that found in the Pauling Collection.

The back and forth nature of my testing results left me wondering why I wasn’t getting any consensus or clear idea of what it was that would satisfy our users. I reached back to reexamine my original assumptions, and found some successful conclusions and some unsettling ones.

My first assumption was that while users, projects, and needs vary from search to search, ultimately, all users want a detailed container list, with as much detail as we can give them (this means item level). If an item level description isn't possible, than an extensive, well organized inventory would be an appropriate and satisfying substitution. When I was a processing archivist, I spent a lot of time carefully crafting these lists, sure that researchers would thank me one day. I also assumed that to effectively use this long list, users would simply search the page with commonly used keywords.

  • Here is what I heard:
    • Users don't search the page, even with long container lists, they skim. And once they found the "answer," they stopped skimming. Further, and more disturbing, people don't really want to read. One person, a university librarian, said that, in her experience, patrons wanted their search term highlighted and wouldn’t look for it if it wasn’t. Another, a recent college graduate, said “Are you supposed to read this stuff?” ... “The general public is lazy, no one will read this stuff.”
    • While the reasons for frustration varied, it seemed that long lists, without adequate context, simply frustrated people. These lists might be sufficient for keyword searching, if we all share the same keyword lexicon, but most wanted either specific, item-level details or more focus on the narrative description. One person said the long container list was like a laundry list of information without any details about how to gain access to it, another said it seemed like elitist forbidden fruit, and yet another actually laughed out loud when he read the phrase "detailed description" for the Instructional Services finding aid, saying "you call this detailed?" At the same time, there was a general confusion about what was actually being described in the narrative series description in the Pauling papers. Conceptually, many people didn't understand how large the collection was, how general the series descriptions were, and how unrealistic it would be to walk up to a reference desk and say "I'd like to see the correspondence please." Those who did had experience working either in or with archives. One person asked "How do you find anything? What is the archivist’s job here?” Another asked “so what do you do on the reference desk?" And another said "from a practical standpoint, you are on the desk and someone asks you to find something and you have 100 boxes? That is a nightmare in terms of the finding aid as a surrogate.” What was vital, nearly across that board was not the subjective perception of "detail," but the contextual information about how these pieces fit into the whole, how they related to other items in the collection, other materials in the repository, and the general field of research.
  • My second assumption was that with a lower level of processing comes a greater need to emphasize sound descriptive practices and subject analysis. This means good biographical and historical notes, good summaries, and good series descriptions, which will give researchers enough detail to be useful and let them know if further research is necessary. This all appears to be true, the textual information we can provide is more meaningful to them than lists, but it seems that, in the Golden Age of Google, we return to my first assumption about the importance of keywords-- in this case, keywords aren't important for the user who is already there, but for the user who is typing away in the Google search box.
  • This brings me to my third assumption: our users drop into our finding aids with little to no introduction, instruction, context, or repository information. To them our institutional and consortia boundaries are constructed-- Google is like one big happy consortium, without the grant applications and pretty style sheets! We need standards and we all need to follow them!
    • If MPLP does, in fact, become the standard for processing, we must all be even more mindful and vigilant about our presentation. It has been encouraging to me that so many people want to talk about these tests, but one of the main things I found was that users "learned" by their second visit to all three union database sites and were able to remember their strategies, and they wanted to navigate within finding aids, within sites, within archival materials, and have things relatively predictable. However, even with the NWDA site, while there is a general feeling of site uniformity, users commented on the lack of uniformity between the finding aids for the individual repositories. Subtle differences can be confusing to researchers who are new to archival research or even to this website.

Conclusion

I never imagined that, as I championed the user and the need to really listen to our users, that they would say anything other than "give me more, I want the details, anything less and I can tell you failed as an archivist." As I reread the American Archivist article last week, with real work experience as a Reference Archivist and after actually talking to the users, I had to admit things had changed for me. Greene and Meissner are right, MPLP effectively shifts our notion of what a finding aid is. But maybe we, and I definitely need to include myself here, need to remind ourselves what a finding aid is—a descriptive surrogate for the materials themselves—and remind ourselves that we can’t do it all and we’ll never be able to find it all.

As a profession, we need to determine what is important to us and determine whether minimal level processing is actually going to meet the needs of our users and our profession. All in all, I think it is too soon to tell what the real implications of this level of processing is, but by beginning this research now, and discussing the implications for reference services, we can both begin the dialog and have a base for discussion in the years to come as more institutions face the reality of their backlog. There are lots of avenues of exploration.

The first is in my own shop: to keep pace with accessions and avoid adding to our backlog, for all new collections at the OSU Archives, we are only preparing collection level descriptions. We've also picked unprocessed collections, mainly those that have little to no online information, and are working to prepare collection level descriptions for those as well. It will be interesting to look at our reference statistics in 3-5 years, primarily the offsite requests, to see if the number of requests has increased with an increased web presence and if there is a correlation in the amount of time spent by staff on reference requests. It should provide a somewhat statistically sound look at how the level of processing impacts reference success and/or how much more work it is for the reference staff.

And let's not discount the promises of new, dynamic technologies. How will Web 2.0, the interactive & dynamic web, impact our ability to gather descriptive information about our collections from our users? Will this make up for not opening the folders?

As the NWDA moves into a sustainable program with ORBIS, rather than a grant funded project, I hope to work more to study how differing levels of processing and description detail within one database effects the user experience; at the same time, because the web allows the archival community to have one big database, I'd also like to explore further the implications of usability across regional, national, and international databases-- it's all the same in the Google world.

It's Alive, a.k.a. Oh my goodness, am I actually writing a post?

I've been caught up in spring term madness, a presentation at NW Archivists, and my studies for the Certified Archivists Exam, but I couldn't resist taking a moment to comment on this one...

I was intrigued by the title of this post: Can a "boring" collection have high research value?, but found that the discussion here of "subjectivity" is one that intrigues me even more. In our quest to be fair (what does that mean?) when we decide which materials to include/exclude, which collections to describe/resign to the forever backlog, which reference inquiries to excel/decel on, we are often reluctant to admit how subjective this all is!

So if, really, we're doing all this archival work for the present & future users, how often do we ask them if what we're doing works for them? How do we know what they want? And if we are actually mixing measured subjectivity with our professional, educated objectivity, shouldn't we be spending a whole lot of time figuring this out and a lot less time thinking about what we want them to want?

I'm quite taken by user studies, but no matter how many times I've read "listen to your users" in my readings for this exam, I tend to hit a bit of a wall... Often, the wall is "all users are different," or "all repositories are different," or "you have to fill out 3,501 forms to ask anyone anything if you intend to share the information anywhere."

No grand point here, just a thought.

Tap, tap, type

I spent this afternoon catching up on email and reading the Archives and Archivists listserv, digest form, which had been piling in my in-box. Though really, can electronic items actually pile? Anyway, I came across an article in the Trentonian, a paper out of Trenton, NJ, entitled Beat generation tools and words inspire teacher. It was a perfect thing to read on a sunny Thursday afternoon! But, as these things often do, this little gem, reminded me of something else I'd read earlier this week.
Professor Debra Larson is teaching a course on Beat Literature at the Lawrenceville School, a prep school in Lawrenceville, NJ. In the grand tradition of the Beats, she is requiring her students use typewriters for their papers. Since she and a fellow English teacher both used typewriters, decided that her students needed the experience of writing all their papers by hand, and typing them on a typewriter. Apparently, she says, the tap tap of the keys will "change the way that they think." "They have to be a lot more deliberate about their writing, and committed to the words that they type" because "the computer lets you change a manuscript so quickly ... it’s diminishing the first drafts. First drafts and second drafts disappear just as you hit the backspace keys. We don’t really have the legacy of the crossouts and the strike-through."
And so, those drafts, upon drafts, upon that I wrote of my grad thesis would have been lost-- unless they were on a wiki, of course! Well, and unless I hadn't printed them all out from my computer...
The typewriter is getting a lot of press these days, specifically for its impact on he writing process, which seems to have something to do with the noise, physical contact, and pain of carrying around lots of paper & correction fluid.
In "The Typing Life," an article in the April 9th issue of the New Yorker, Joan Acocella reviews a book entitled The Iron Whim: A Fragmented History of Typewriting by Darren Wershler-Henry. The book explores the typewriter, its murky and unremarkable origin, drugs, monkeys, the role of women-- are you interested yet? Oh, and then there is the celebrity gossip!
Acocella tells us that
"Nietzsche used a typewriter. This is hard to imagine, but in the effort to stem his migraines and his incipient blindness-symptoms, some scholars say, of an advanced case of syphilis-he bought one of the new contraptions. So did Mark Twain, and he was the first important writer to deliver a typewritten manuscript, 'Life on the
Mississippi,' to a publisher. Henry James also had a typewriter, and a secretary, to whom he dictated. That is a famous fact; it is said to have contributed to the extreme complexity of James's late-period style."
Apparently, "James got used to the sound of his Remington; when it was in the repair shop and he had to use a loaner, the new machine's different sound drove him crazy." And, interestingly enough,
"for years after his death, his devoted typist, Theodora Bosanquet, claimed that she was still receiving dictation from him ... through her spirit medium she was informed that Thomas Hardy, George Meredith, and John Galsworthy, all as dead as James, also wanted to use her stenographic services."
William S. Burroughs and Kerouac (as we know from the prep school class) both used typewriters. Fun fact: apparently, Burroughs' and Kerouac's relationships with their typewriters were heavily mediated by drugs. "Kerouac would buy nasal inhalers, pry them open, and eat the Benzedrine-soaked paper within, followed by a chaser of coffee or Coca-Cola." Acocella tells us that they've changed the formula since then...
Acocella also explores our relationship with the computer, something Wershler-Henry does not do. She asks us to consider "our physical involvement with the typewriter, which stands in relation to our connection with the P.C. as a fistfight does to a handshake." Instead of the banging and stabbing, there is a "gentle, pitter-patter sound;" instead of a clean sheet of paper, the "record of the torture of thought," we have a screen, "a kind of indeterminate space" that "does not seem violable in the same way as the page" -- and is "effortlessly and undetectably erasable." No record of the struggle to find words, no white-out, no cross-outs. No taped together sheets of sliced up paragraphs-- it's so easy to cut & paste, move things for better or worse.
And, really, I always thought typewriters were loud...

The Middle School Invasion

Last Friday afternoon I had a delightful visit to the Archives by 6 middle school girls. They are taking a Historical Fiction writing class through ArtCentric, and were here researching their stories. What a joy it was to see engaged researchers, charged by what they were finding and happy to have the opportunity to touch the old stuff.
In a week full of meetings, stress, Clifford Lynch, and a Luciana Duranti article, it was really nice to have them here...

Have I found some del.icio.us limits?

Limits, limits, limits: have I found one?

Has anyone had trouble with a character limit in the "Notes" field of del.icio.us? For someone who loves to cut & paste large chunks of text for later, I just realized I had lost lots of chunks!

I am prepraing a conference presentation and thought, since it's on social software, I would use some of our great tools. No dice for long notes, it seems... Does this mean I should bookmark in del.icio.us, compose in google.docs, ponder & gleen from the communal wisdom here, and then cut them all out to paste in a Word file? Argh-- I sure hope not.

Acclaim & Agony

This weekend, I walked by a church with a sign out front promoting a service that week entitled "Acclaim and Agony." I'm sure they weren't talking about professional development, but since that was on my mind, I read it as a sign. Well, beyond its obvious meaning as an actual sign.

My own professional development has been on my mind a lot lately. Namely, how much is enough? not enough? overwhelmingly too much? It seems like the line between my own acclaim & agony is thin. The mere fact that I have a job, as an archivist, and perform my job duties everyday is set, but on either side is the slacker and the over-achiever-- and it's oh so easy to be both... And, when I step back from my manic level of involvement, I wonder why I am actually working so hard. What is the ultimate goal?

During my walk in the Oregon drizzle this weekend, I came to the conclusion that the goal seems to be the involvement itself. It is the charge I get from being a part of the group that contributes and creates. I feel priviledged to be allowed to be a part of the conversation, honored that people want to hear what I have to say! At the same time, I long for coasting... Coming to work everyday, typing my email and answering reference questions, going home at night without a reading to do, and getting up the morning without checking my email/blog/news feed/etc.

Any other hyper-achievers out there?!?

What about our history?

I spent yesterday afternoon on food patrol. It was finals week and the Archives Reference room had turned into study central, due in large part to our big tables and a major power outage in half the dorms. Needless to say, combined with the noise, there was a little Red Bull and some snacks. Also needless to say, it wasn't the place for any rich scholarly research for those who dared to turn up expecting to find some archival information. My shift wore on, and I found myself more and more irritated with what I saw. Frankly, I snapped a little when I saw a young man move the "No Food or Drinks in the Archives" sign to put down his package of cookies-- not a small package, but a whole tray. His first cookie was half-way to his mouth when I stomped up and said (in the best mom voice I had) "This is an archive! You can't eat here!" He looked at me with that look and actually appeared to be considering whether it would be completely impertinent to eat the cookie in his hand and what I would do if he tried.

Fast forward a few hours, and I found myself blasting a National Geographic special over my daughter's seemingly endless stream of questions about what we were watching. It was entitled "Lost Treasures of Afghanistan," and I highly recommend it (though maybe not watching it with a 3 year-old on your lap). From the site:

Over the past three decades, war and terrorism have devastated many of Afghanistan's rich cultural treasures. But many brave Afghans were determined to save their heritage. This new special highlights the heroic efforts of those who would not allow their culture to be destroyed. The program tells of priceless treasures that have been recovered - the Bactrian Gold, one of the ancient world's richest golden treasures; precious artworks; and the country's entire film archive. The program also covers the exciting search for a 1,000-foot-long reclining Buddha, possibly lying buried near the rubble of the two huge Buddha statues blown up by the Taliban in March 2001.

My daughter wanted to know, among other things, "why is that lady driving in a car," “what are those mountains,” "why is that man crying," and, I kid you not, if the Taliban "needed a time out.” We watched, over and over again, the Buddha being blown up, and heard from the archaeologist, who had studied these Buddhas decades earlier, described how he felt when he heard of the destruction. We also heard from a man who had been taken from his house, tied up with a rope, and hoisted onto one giant Buddha, where he was forced to drill holes and insert dynamite into the statue. We watched another man recount his bold move to cover the oil paintings in the national museum with watercolors so the Taliban wouldn't destroy them. But, really, what we saw was the raw determination of these people to save their own national treasures. Their commitment to preserving the art, words, religion, and spirit was overwhelming and truly awe-inspiring.

So what does Red Bull have to do with the destruction of ancient religious statues? Well, I'm not sure, but the contrast was so great, I found myself thinking about it, and the power of history, for the rest of the night.

As one of my final papers in graduate school, just as the destruction of museums and libraries became fodder for a night or two of evening news, I wrote about the power of these cultural treasures—both the power to revere/preserve them and to destroy them. Throughout history, invading forces have sacked these information and cultural centers, often before destroying anything else. But what I remember most of all, what has stuck out in the fuzzy section of my brain that contains the "grad school paper" details, is that people actually destroyed their own information and cultural centers. Information really is that powerful! And here we are as the gate-keepers! And here they eat trays of Girl Scout Samoas!

I suppose I want everyone to respect our hallowed halls, want everyone to hush in a library, and want people to read the signs...

Just another brand new blog

Fresh out of the 5 Weeks to a Social Library, where I rambled on a frequent basis, it only seemed appropriate to set up my own blog. Not only is the customizable template attractive, the joy of trying out a new blogging software seems to fit this experimental phase.

I'm the Reference Archivist and Student Supervisor at the Oregon State University Archives. I've been here since July, and feel moderately more confident in my ability to match researchers with primary resources-- moderately. I spend a lot of time trying to figure out exactly how this works, and will probably dedicate a lot of words in this blog to working out things I've read, thought, or heard. My 5 Weeks blog showed me that discussion can happen, so if you have something to say, I'd love to hear it!
